The Administrative Assistant is accountable for the professional and administrative support of the Home Office, working directly with the Operations Manager and other Team Members. The Administrative Assistant must be flexible and able to work in a fast-paced and dynamic environment with limited direction. This may require limited travel and work in the evenings and weekends on special projects as assigned. The Administrative Assistant’s primary responsibility is to manage the front office and provide administrative support.



RESPONSIBILITIES



• Manage the reception area to ensure effective telephone and mail communications both internally and externally to maintain a professional image

• Assist Operations Manager with scheduling meetings, conference calls, travel logistics for team members and designated individuals

• Prepare and edit general correspondence, including adhering to formatting/style guidelines

• Support various fund raising efforts including research, guest lists, mailing support, and event logistics

• Maintenance of Salesforce database including data entry for new contacts as well as updating existing contacts

• Support communications with Board Members

• Collect and transcribe meeting notes

• Assist team members in the preparation of reports and presentations

• Maintain orderly working environment including document filing and organization

• Prepare and submit time/expense management reports

• Manage office services, including general administration, accounting, equipment and supplies

• Provide support to members of the team as needed

• Assist with special projects as assigned



MINIMUM REQUIREMENTS



• 2+ years experience as an administrative assistant including general office administration experience, preferably in a professional services firm, e.g., correspondence, logistics, facilities management, etc.

• Ability to work independently with high quality standards in a fast-paced, multi-tasked environment

• Exceptional organizational skills

• Exceptional interpersonal and communication skills in a fast paced environment

• Hands-on, extensive knowledge of commonly used software such as Microsoft Office suite of tools, data entry systems

• Ability to shift priorities and timelines and participate as an exceptional team member of the administrative staff
