The position in brief, principal responsibilities, and minimum qualifications are as follows:





POSITION BRIEF:



Candidate will be responsible for providing assistance and support to the Project Manager(s) in the marketing and management of projects for commercial office and other interiors, and new and remodeled buildings, including design, construction, furniture, technology and moving services throughout Northern California, and potentially other projects or programs across the United States.



PRINCIPAL RESPONSIBILITIES:



•Assistance to Project Managers and Marketing staff in the business development and preparation of proposals and presentations for project management services.



•Assistance in developing and refining standard templates for project management documentation, and organizing in a central repository.



•Assistance to Project Managers in the development and maintenance of project schedules and budgets.



•Maintain cost tracking report for each project including the logging-in of contracts and the cost coding of related invoices and preparation of letters recommending payment. This may be handled through an online ASP.



•Assist in Preparation of Requests for Proposals, bid tabulations, Letters of Intent, Agreements, Change Orders and other activities related to contracting for project related services.



•Post or distribute documents to contractors and vendors. This may be handled through an online ASP.



•Assist in receipt, review, distribution, tracking of project closeout, and archiving



•Assist in Preparation of weekly Meeting Notes for projects (from mark-ups)



•Assist in maintaining Project Managers’ project files and/or binders.



ADMINISTRATIVE RESPONSIBILITIES



•Travel Coordination (limited)

•Fed-Ex/Mail/Fax/Copy/Scan Letter/Memo draft

•Maintain Contact Databases



QUALIFICATIONS:



•Related bachelor’s degree or equivalent knowledge

•Experience within Property Management, Construction or Architectural office preferred.

•Solid knowledge of Microsoft Office: Outlook, Word, Excel, PowerPoint, Internet

•Knowledge of Microsoft Project, Sharepoint & Access and AIA Contract Document software and basic CAD software, and online document storage and project procurement/accounting databases an advantage, or commitment to learn and use.

•Independent problem solver

•Strong organizational, interpersonal, and communication skills

•Detail and multi-task oriented team player
